Job Summary

We are seeking a proactive and well-organized Bilingual Executive Assistant to support administrative and operational activities in a remote environment. The ideal candidate is proactive, has a positive attitude, strong communication skills, and is comfortable interacting with the CEO and clients while handling day-to-day administrative tasks.

Key Responsibilities

  • Provide administrative support to the CEO and managers/internal teams.
     
  • Manage calendars, schedule meetings, and coordinate calls.
     
  • Handle incoming calls and respond to emails in English and Spanish.
     
  • Upload and manage invoices and support basic administrative/accounting processes.
     
  • Assist in the preparation and organization of project proposals for clients.
     
  • Prepare reports, presentations, and general documentation.
     
  • Perform data entry, file organization, and record keeping.
     
  • Coordinate with internal teams and external clients as needed.
     
  • Ensure smooth daily operations in a remote work environment.
     

Qualifications:

  • Previous experience as an Administrative Assistant to the CEO or in a similar role.
     
  • Bilingual in English and Spanish (written and verbal).
     
  • Strong organizational and time-management skills.
     
  • Proactive, positive, and solution-oriented attitude.
     
  • Excellent communication and interpersonal skills.
     
  • Ability to handle multiple tasks and meet deadlines independently.
     
  • Proficiency in Google Workspace and/or Microsoft Office.
     
  • Comfortable working remotely and managing responsibilities autonomously.
     

Nice to Have

  • Experience supporting client proposals or commercial teams.
     
  • Basic knowledge of invoicing or administrative accounting processes.
     
  • Experience working with international or remote teams.
     
  • Familiarity with tools such as Slack, Zoom, Notion, or CRM platforms.
